What is Todoist?
Todoist helps break large projects down into smaller, more manageable chunks with sub-projects and sub-tasks. Plus, with labels, filters and task priority levels it's easy to categorize and customize tasks. Users are able to create a new task, view the status of their ongoing tasks, and view all completed tasks within their Todoist account.
Todoist helps users stay on-track with a unique point system called Todoist Karma. Todoist Karma gives points for completing tasks, using advanced features, and reaching weekly and monthly productivity goals. - Mac app (my primary platform) is lackluster; it seems to be a wrapper to the web interface. They should have a native app to compete better with Things 3 on a Mac
- The new board view (Kanban view) is great, but it's brand new and could use some enhancements to catch up to Trello, monday.com, etc.
- The completed task log is really slow
- I wish the sync, security, encryption, and privacy features were clearer, better, and more transparent

- Windows emojis can be added with text, but I found that out indirectly when looking at updated features in Todoist help articles. If you are reading about this for the first time, if you are a Windows10 user, click the Windows key plus the period key at [the] insertion point in [the] text to access emojis.
- Moving from subtasks to creating new tasks seems to be somewhat cumbersome.
- I know I'm a free plan user, but it would be more fun to have more themes available for both the free plan and the paid plans.
- Well-suited: simple text and calendar entries. The briefer, the better.
- I am also a Slack user in an organization with several hundred users. Experience in such a large group with a huge lot of back/forth and multiple functions (which some days drives me a little crazy) keeps me from wanting to go function-crazy and integration-crazy on Todoist, which could happen, even as a single user. I could do that in a heartbeat, because free-plan Todoist is a very robust little SaaS. For some folks, that's probably a big plus, especially for shared integrations, but for my small business concerns, I don't need a lot of multi-software tasking integration. I especially don't want to integrate with Google Calendar, as I sync with multiple clients, so I don't want that kind of public facing on the shared calendar.
- Todoist is one of the only true cross platform productivity based apps. I like the ability to add a todo item on the web and have it show up everywhere. Cross platform functionality also helps with getting other users on board to use it.
- Todoist templates are a gold feature for anyone to use to get started. I like how many you can choose from, definitely a stand out feature.
- I like being able to work within Todoist through the different views like Kanban boards and the calendar view.
- My one gripe is Todoist is that when you add a new to-do item it is added to the top of the app, if there was a bit more editing customization for new to-dos it would be great.
- Maybe not a big thing but personally I wish you could customize the look of the app a bit more outside of the default colors, just to match some style or give users some more control.

- While I use it to manage projects and it actually works quite well, I am not sure that is where it is strongest.
- Being able to manage tasks across multiple devices and platforms is absolutely critical to me. If I am out of the office, the tasks will be on my phone. But they are also readily accessible on the web, on my desktop, and on my iPad.
- There are several ways to organize your tasks... via Projects, Labels, Boards, Lists, etc. that allow users to use Todoist to fit their productivity workflow. I use them all and I have been delighted to see how Todoist has continued to improve and advance the Todoist application over the years.
- I rely extensively on recurring tasks which allow me to never forget a birthday, monthly submission, chore at home, etc. Todoist offers many ways to manage recurring tasks, such as, "every week", "every April 8", "every fourth Thursday in November", etc.
- The Todoist application now works almost identically across all platforms. There is a minor improvement that I would like to see on iOS and that is the ability to show task count by custom filter.
- In Board view, I want to be able to easily add sub-tasks to a parent task.
- Besides those two minor improvements, I am extremely happy with the application.

As such, there is a constant stream of new to-do's. Without a quick, easy, cross-platform project & task manager, it would quickly spiral out of control and become a mess of unassigned or forgotten tasks and ideas.
On the other hand, if the process of entering and managing these tasks was onerous, it just wouldn't be done.
Todoist fills a 'sweet spot' for us between ease & capabilities.
Affordable, flexible, cross-platform to-do lists.
- Onboarding and complexity is kept to a minimum. Other platforms like OmniFocus were far too complex to figure out in comparison.
- Flexibility was key as well. I was able to quickly set up personal and professional to-do's, without a lot of additional effort.
- Their premium features were very affordable compared to similar solutions. OmniFocus is much more expensive and you have to buy separate desktop and mobile licenses.
- Platform-independent. There are some very elegant mac-only solutions, but Todoist is available for Mac/PC and as a web app. This lets our whole team use it independently, although not together. Todoist isn't designed for major organizations, but does what it does very well.
- Could have better large project management tools and collaboration tools, but as an individual task manager/to-do list, it's amazing and very flexible.
- The basic app feature set is somewhat limited, but the upgrade is much more affordable than a few of its competitors/alternatives. For individual users and small teams, it can be very effective.
- A bit of an extension of #2, but the notes feature would be a good thing to include in the free version of the app. May help to build trust/buy-in before a full commitment.
- Its flexibility could be a downside compared to more structured apps like OmniFocus, but I personally appreciated it.
I use it to make checklists of topics for one on ones with my direct reports, and even have a shared list that my project manager and I use to prioritize our discussion points before we start our 1:1s. This is a shared list that we both add to throughout the week as we prepare for our meeting. We both meet with our superior throughout the week, and this helps to keep us in sync without always meeting. We even have Alexa hooked up to it to create a shopping list using our voice on Alexa, which gets added to a Todoist list. I like this because ToDoist has an Apple Watch app, so you can walk around the grocery store glancing at your watch and marking items off instead of having your phone out or a pen and paper.
A great middle-of-the-road choice that will be suitable for most

- Todoist is very easy to use and comes with a great knowledge base so implementation is a snap!
- Todoist is available on almost any platform - Windows, Apple, mobile and more.
- As your projects get larger and more complex Todoist almost seems too simple. It can be a bit more robust for this scenario.
- On mobile when an update to iOS comes out there can be small issues related to Todoist but they are usually fixed pretty quickly.

- Todoist is great for organizing tasks across platforms and performing "brain dumps," so you can document something the moment you think about something.
- The software is terrific for any list you need to keep - shopping, grocery, reading, errands. The recurring task feature is excellent as well for things you must due repeatedly.
- Easy to use UI.

- Integration with my Google Home Nest hub would be nice.
- Not sure how to set-up push notifications in iOS for when I forget to check my tasks.
- Simplicity & Ease of Use - Todoist is very user-friendly and simple to understand. They make it easy to add tasks with dates, comments, priorities, and attachments while organizing your projects. It's similar to creating a checklist!
- Apps - I have Todoist on my phone, my MacBook and my iPad and they all sync seamlessly. I personally haven't run into any bugs using these apps for three years now and they're always pushing updates through. When I'm at a conference with my iPad, I can still see all of my tasks and when I'm on the go with my phone, I can see all my tasks too. I'm not tied to my work desktop!
- Price - For $3 a month for personal use and $5 a month per user for business use, Todoist's pricing is very reasonable. They also offer a free version which is very nice as well! So if you're looking for a project management software with no frills at a low cost, Todoist could be your savior!
- Task Dependencies - Particularly for business projects, I'd love if we could make one team member's task dependent on another's where we could say "do this task 3 days after another one is complete"
- No Two Factor Authentication - For me personally, I like to keep all my passwords secure and backed up by two-factor authentication. Just wish this was something Todoist offered!
- Adding Start Date & End Date - Sometimes I set an end date farther in the future, but I'm not alerted that I need to be working on it before then to achieve that due date. If I look at the "Next 7 Days" section, I can see upcoming tasks, but ideally, I'd love to be able to set a start date and an end date so it could appear in today's tasks without needing to be completed today.
Todoist: a swiss knife of productivity in the right hands.
- Universal shortcuts in the desktop apps reduces friction between thinking of something you need to do and actually adding it to your list.
- "Tagging" systems for projects makes assigning tasks extremely intuitive.
- Google Cal integration allows for a basically universal way of having tasks show up in your devices even if you don't have Todoist currently installed, as well as letting you use the Google API to integrate tasks for other uses (e.g.: automatically booking a meeting room for certain tasks).
- A "calendar" view would be useful although that is currently solved for us with Google Calendar integration
- Windows app will occasionally freeze with no clear explanation nor way to solve it other than force quitting.
- Task search functionality is very limited and requires precise wording to find what you are looking for.
Training users out of their old habits into using Todoist is hard and will probably add some overhead to its implementation, but for us it has been worth it.

A no-brainer for basic task management
- It's really easy to create new tasks, categorize them, and schedule them. The scheduling is also very flexible. If I don't get everything on my list done for the day (let's be honest, that happens most of the time), it's easy to quickly reschedule my remaining tasks for the next day or the next week.
- Todoist has really solid apps for desktop and mobile. I use the apps for Mac OS and Android. They sync quickly and the design and usability between the two is very similar. I didn't have to learn drastically different flows to be able to use them both.
- Notifications are appropriately persistent. I get a mobile push notification everyday of how many tasks I have that are due (or overdue as the case may be). It holds me to account and forces me to deal with the tasks I have on my list, whether to complete them or reschedule them.
- Add more functionality to the Slack integration. I would love to pull up my task list using a Slack command and check off completed items there. Even if I couldn't mark items off, I would still love to be able to pull up my task list for the day from within Slack. Currently, I think the only thing I can do is create new tasks.
- Organizing project folders is pretty tricky. When I was setting up sub-folders, they would get all out of order very easily. It took me a while to figure out where to drag and drop a folder if I wanted to roll it up under a top-level folder.
- I would love a calendar view of my tasks, so I can see which days have a certain number of tasks and plan accordingly. The list view is fine, but the calendar grid would be useful for planning and cross-referencing with my Google Calendar schedule.
It compares favorably with other tools in it's space for collaboration as well. Assigning tasks to others is easy, including from within the Slack integration.
The best To-Do software on the market, hands down
Instead, Todoist is used by myself and a few other co-workers individually to manage our daily tasks at work and in our personal lives. Some users use the free version, but some of us choose to purchase the premium version to add the additional notes, categorization, and tagging.
In general, Todoist allows me to maintain a clear and precise to-do list within Outlook, on my mobile device, and in a standalone app on my computer. The ease of use, integrations and cross-platform ability allows me to add tasks and complete them quickly and easily no matter where I am or what I am working on. This is where other to-do software platforms have not worked as well for me. I am not struggling with the technology to create and complete simple tasks.

The business edition is great for those who will need to delegate tasks to others, especially with the notes section to pass on important information.
It is not so great for seeing a bigger picture of the workload schedule, as other Kanban or Gantt chart schedule programs would be.
Mid-level project management for small teams and individuals
